A purchase order is a buyer-issued commercial document requesting specified goods or services under stated details and terms. It can provide item, quantity, unit, price, delivery and reference information for procurement and receipt.

PURCHASE ORDER IN PRACTICE

  1. Approve the requestVerify items, units, price and authority.
  2. Confirm the supplyTrack acceptance and approved changes.
  3. Reconcile the receiptCompare actual goods and invoice evidence.

Use the agreed units, actual records and approved procedures for your operation.

A WORKED EXAMPLE

The PO is one checkpoint, not the sole truth.

A receipt differs from the PO’s unit description. The team compares the brand item master, supplier information and actual goods, then obtains human approval for the correct mapping before posting inventory.
