PROCUREMENT SETTLEMENT & RECEIPT ACCURACY
Evaluated Receipts Settlement (ERS)
Evaluated receipts settlement is an agreed process in which the buyer creates settlement or invoice records using purchase-order and goods-receipt information instead of relying on a separately submitted supplier invoice for that transaction.
EVALUATED RECEIPTS SETTLEMENT IN PRACTICE
- Agree the basisConfirm supplier participation and order data.
- Verify the receiptRecord actual accepted quantity and unit.
- Review settlementReconcile generated records and exceptions.
Use the agreed units, actual records and approved procedures for your operation.
A WORKED EXAMPLE
Ordered 100. Accepted 80.
A buyer orders 100 units but accepts 80. Under an agreed ERS process, the accepted receipt is evaluated using the relevant order terms. Recording all 100 as received would create a wrong settlement basis even if the automated calculation ran successfully.
