DOCUMENT CAPTURE & DATA QUALITY
Digitization
Digitization converts analogue information into a digital representation. Examples include scanning a paper receiving note or capturing a handwritten record as an electronic file.
DIGITIZATION IN PRACTICE
- Capture the sourceCreate a readable digital representation.
- Extract carefullyIdentify fields where structured data is needed.
- Review and retainValidate the result and control access.
Use the agreed units, actual records and approved procedures for your operation.
A WORKED EXAMPLE
An image is not an approved quantity.
A paper note states 12 cases, but OCR captures 12 eaches. The scanned image is legible; the structured extraction is wrong. A reviewer compares it with the source and approved pack data before posting any inventory transaction.
WHAT THIS MEANS FOR YOUR QUOTE
Agree the requirement before comparing quotes
Use the actual shipment, stock and service requirements. Record the billing unit, included work and responsibility for exceptions.
