ITEM DATA & CONTROL

Inventory Master File

Reading time
3 minutes

An inventory master file is the controlled set of item records defining how products are identified, measured and handled in inventory systems.

INVENTORY MASTER FILE IN PRACTICE

  1. Collect approved item data
  2. Validate identifiers & units
  3. Review & authorize changes

A WORKED EXAMPLE

Unit UPC in the case field.

A SKU has 12 units per case. Its individual-unit UPC is accidentally entered as the master-case identifier. A later scan can resolve to the wrong packaging level and create a twelvefold quantity interpretation. Compare brand item data, supplier references and WMS settings before activating the item.

WHAT THIS MEANS FOR YOUR QUOTE

Make the requirement explicit

Use the same scope and units when comparing providers. Put the agreed responsibility, included work and exception process into the service description.

Put this term to work. Use the 3PL selection guide to turn these operating requirements into provider checks, and the 3PL RFP guide to document evidence, responsibilities and exceptions.

A LITTLE MORE CONTEXT

Should AI correct every mismatch automatically?
