SYSTEM ACCOUNTABILITY & INVESTIGATION
Audit trail
An audit trail records events and changes so they can be traced through a process or system. Useful records identify the action, affected object, time and responsible user or process.
AUDIT TRAIL IN PRACTICE
- Record the eventCapture action, object, time and actor.
- Preserve change historyKeep before-and-after values and authorization.
- Investigate the sequenceReconcile logs with physical and commercial records.
Use the agreed units, actual records and approved procedures for your operation.
A WORKED EXAMPLE
A unit mapping changed. Who approved it?
An item record originally maps a barcode to one each. A later update maps it to a case of 12. When a shipment discrepancy appears, investigators need the old and new values, effective time, source upload and approving person, together with the orders processed under each version. A current item-master screen alone cannot explain which mapping governed yesterday’s pick.
WHAT THIS MEANS FOR YOUR QUOTE
Agree the requirement before comparing quotes
Use the actual shipment, stock and service requirements. Record the billing unit, included work and responsibility for exceptions.
A LITTLE MORE CONTEXT
Questions about Audit trail
Is a current inventory report an audit trail?
Not by itself. It shows a state; an audit trail explains relevant events and changes leading to that state.
Should automated actions be logged?
Yes. The process identity, affected record and outcome help connect automation to accountable operations.
Can an audit trail prove an unrecorded handoff?
No. Investigators need evidence of the actual event rather than assuming it happened between two timestamps.
