INVENTORY & SUPPLY OPERATIONS
Stocktaking
Stocktaking is the controlled physical counting and verification of inventory within a defined scope, followed by comparison with records and investigation of differences.
STOCKTAKING IN PRACTICE
- Control the scopeDefine locations, items and cutoff.
- Count the goodsRecord supported quantities and condition.
- Reconcile differencesRecount and trace transactions.
Use the agreed units, actual records and approved procedures for your operation.
A WORKED EXAMPLE
Ten cases. Which quantity?
A counter records ten sealed cases of a SKU whose approved pack is twelve eaches. The count represents 120 eaches if all ten cases meet that configuration. Open cases and mixed contents need their own verification; the outer carton alone is not enough.
WHAT THIS MEANS FOR YOUR QUOTE
Agree the requirement before comparing quotes
Use the actual shipment, stock and service requirements. Record the billing unit, included work and responsibility for exceptions.
Put this term to work. Use the 3PL selection guide to turn these operating requirements into provider checks, and the 3PL RFP guide to document evidence, responsibilities and exceptions.
A LITTLE MORE CONTEXT
Questions about Stocktaking
Is stocktaking always an annual shutdown?
No. Scope and timing vary; cycle counts cover selected stock periodically.
Should every difference be adjusted immediately?
No. Investigate and approve the supported correction.
Does a count establish financial value?
Not alone. Valuation uses additional evidence and the applicable accounting policy.
